Everything about how Autonexo works
This guide explains every module of the platform as it works today: what it does, what it doesn't do yet, and where to find it. If you're looking for quick answers to a specific problem, visit the Help Center.
Getting started
You can start a 14-day free trial from the homepage, no credit card required. Signing up gives you immediate access to your Autonexo account and a trial API key.
Autonexo is installed per shop — it's not a one-click self-service product. Signing up or choosing a plan from your dashboard doesn't activate anything automatically: it logs your interest, and our team reaches out to coordinate the trial and the installation.
The three types of access
It's easy to mix them up because all three say "sign in," but they're different systems:
- Your Autonexo account (this same app, at
app.html) — used by the shop owner or admin to manage the business's plan and API key. - Shop dashboard — used by your team (front desk, technicians, admin) day to day: orders, customers, inventory, scheduling, invoicing.
- Customer portal — used by vehicle owners to see their own orders, quotes and appointments. See Your customer portal.
Your account and API key
From your Autonexo account you can:
- See the status of your trial or current plan, with the date it ends or renews.
- View your API key, hidden by default — click the eye icon to reveal it and the copy icon to copy it to your clipboard.
- Regenerate your key at any time. The previous key stops working immediately, so update any integration using it before regenerating.
- Request a plan change (see the next section).
Your session stays signed in between visits (no need to log in every time you return), and you can sign out manually from the user menu at the top right of the dashboard.
Plans and pricing
Essential covers 1 shop location and up to 3 users, with work orders, customers and vehicles, and basic invoicing. Professional adds up to 10 users, 2 locations, inventory, advanced reports and priority support. Enterprise is for chains with unlimited locations and users, with guided onboarding.
Choosing a plan in your dashboard doesn't charge you or change anything immediately: it logs your request so our team can reach out and coordinate the actual change. Paid plans aren't a one-click checkout yet — today it's a guided process, not a self-service payment gateway.
Shops, locations and users
Each Autonexo installation manages one or more locations (depending on your plan), each with its own address, hours and suggested tax rate. Within a shop you can create user accounts for your team with role-based permissions, so each person only sees the sections that apply to them (a technician, for example, doesn't need to see financial reports).
Work orders
The heart of the daily workflow. Every vehicle that comes in becomes a work order with:
- A history of stages (received, in progress, ready, delivered, etc.) with who changed each status and when.
- Internal team comments and attachments (photos, documents).
- Associated payments, to track the balance owed on each order.
Your team updates the status from the shop and you see it reflected instantly, with no phone calls or scattered messages.
Customers and vehicles
Every customer and every vehicle are recorded once. From a vehicle's record you can see the full history of past work orders in seconds, with no digging through paper or folders.
Inventory and parts
Track stock in real time and get an alert before you run out of a key part, instead of finding out halfway through a repair.
Scheduling and appointments
Schedule appointments by service bay or technician and avoid two jobs being booked in the same slot at the same time.
Quotes
Build a quote with the line items and prices of the proposed work. The customer can review it and approve or decline it from their own portal, leaving a digital signature as part of the decision — with a record of who approved what and when.
Vehicle sales
If your business also sells vehicles (not just repairs them), Autonexo keeps a separate record of those sales, distinct from the work order flow.
AI inspections and photo analysis
You can log an inspection by vehicle zone (brakes, tires, lights, etc.) and attach photos. When the AI module is configured, it analyzes each photo and suggests the condition of that zone — it never saves it on its own.
Trust principle: everything the AI returns in Autonexo is a suggestion. No result is applied to a real record without a member of your team explicitly confirming it.
Conversational assistant
Your team can describe what they need to the assistant in plain language — for example, asking for a quote for a service — and the assistant proposes the action with the data it could extract from the message. It never invents customers, items or prices that weren't mentioned, and never executes anything on its own: someone on your team confirms before any record is created or changed.
Invoicing, payments and taxes
Turn approved quotes into invoices and track outstanding payments. Autonexo can process payments through external gateways (Stripe and Clover), and suggests a base tax rate based on your location's country and state/province to save you the lookup — it's a reasonable starting point, not an exact legal source per address, so you can adjust it by hand if your local rate is different. You can also create discount coupons for one-off promotions.
Your customer portal
Each of your shop's customers (the vehicle owner, not your team) can create their own account with a name, phone number and password — a session completely separate from your staff's access. From there they can:
- View their vehicles and each one's history.
- Review their current and past work orders.
- Approve or decline quotes, with a digital signature.
- View their scheduled appointments and vehicle purchases, if applicable.
- View and download their invoices.
- Edit their profile and change their password.
Your shop's public site
Besides the internal dashboard, your installation includes a basic public site (a vehicle catalog if you sell, an "about us" page, and online appointment booking) so your own customers can visit it without signing in. Autonexo keeps a simple visit count for these pages.
Notifications and reminders
Autonexo automatically checks for next-day appointments, vehicles ready but not picked up, upcoming maintenance, warranties or insurance about to expire, and overdue payments, and generates an alert for your team in each case.
Today those alerts arrive as an in-app notification and, if you have SMTP configured, also by email. SMS/WhatsApp channels to the end customer aren't implemented yet, though they're on the product roadmap.
Each admin user controls which types of alerts they want to receive from their profile.
Reports and analytics
Visualize revenue, repair times and per-technician productivity, to make decisions without building a spreadsheet by hand.
Security, backups and auditing
Your team's access can be protected with an extra step at login (a one-time code or facial verification, depending on how you configure it). Every sensitive action in the system — deleting a customer, logging a payment, changing a status — is recorded in an internal audit log with who did it and when.
Your installation generates automatic backups on a regular schedule, which can be restored if something goes wrong; before restoring, an extra copy of the state right before is also saved, for safety.
Multi-language
Both Autonexo's internal dashboard and this site and your billing account are available in Spanish and English. The site remembers your language preference the next time you visit.
How your license works
Each Autonexo installation is identified by a license key that's checked periodically against a central service. So if your plan changes or an invoice stays unpaid too long, your installation reflects it automatically, with no one needing to touch the server by hand. This is the same API key you see in your account dashboard.
